GasIko (“we”, “us”) provides point-of-sale, cylinder-inventory, M-Pesa reconciliation and debt-reminder software to LPG (cooking gas) dealers in Kenya. This policy explains what information we hold, why we hold it, and the choices you have. It is written to align with Kenya’s Data Protection Act, 2019.
1. Who controls the data
Each gas dealer (the “Shop Owner”) is the data controller for the customer and business records they enter into GasIko. We act as the data processor, storing and processing that information on the Shop Owner’s behalf so the software can work.
2. What we store
- Business records: shop name, products, prices, cylinder stock and gas-in deliveries.
- Customer records entered by the shop: name, phone number, and outstanding balances (debts).
- Sales & payments: transactions, cash/M-Pesa amounts and M-Pesa reference codes.
- Staff accounts: the name, phone, email and role of each person you give a login.
We do not store full card numbers, and we never ask a customer for a password or M-Pesa PIN.
3. How we use it
- To run the point of sale, track stock, and calculate what customers owe.
- To send SMS receipts and debt reminders on the Shop Owner’s instruction.
- To reconcile M-Pesa payments to the right customer.
- To keep the service secure and to provide support.
4. SMS messages
Receipts and debt reminders are sent only when the shop enables them. Messages are delivered through a licensed bulk-SMS gateway. A customer can ask their shop to stop messaging them at any time, and the shop can disable SMS in settings.
5. Sharing
We do not sell your data or share it with advertisers. We share information only with the service providers needed to run GasIko — for example the SMS gateway and the M-Pesa (Safaricom Daraja) payment platform — and only to the extent required to deliver the feature you are using, or where the law requires it.
6. Security & retention
Data is stored on secured servers, sensitive credentials are encrypted, and access is limited by staff role. We keep records for as long as your shop uses GasIko. When an account is closed, the Shop Owner may request export or deletion of their data.
7. Your rights
Under the Data Protection Act, 2019 you may request access to, correction of, or deletion of your personal data, and you may lodge a complaint with the Office of the Data Protection Commissioner (ODPC).
